Ex Libris Implementation Team Update – November 2022
Library Mobile
As of November 9, the app has 1,348 registered users. Contests for registrations and Quick Polls continue to be held. We also continue to hope that more local contests or initiatives to increase registrants can be held to increase awareness and registrations.Electronic Resources
A public data dashboard is being built to provide easy, on-demand access to e-resource inventory and usage data to help inform collection development and management decisions.Rapido
Work is underway to create a presentation regarding Rapido for LLT. The team will demonstrate the product and review the current status of the project and known issues. We hope that the presentation can occur in December.Esploro
- SOAR’s integration with ORCID has been improved. This integration allows researchers to automatically push their research outputs in SOAR to their ORCID profile. Improvements include resending records that failed and updating ORCID with changes made to the SOAR record.
- The Libraries are partnering with the Office for Research to offer training to Rutgers faculty on how to search for funding opportunities using Pivot-RP. It is hoped this collaboration will open the door to additional partnership opportunities in the delivery of university-wide research services.
Post-Implementation Review
As previously reported, the entire team is participating in and leading a post-implementation review process of Alma. The review will focus on identifying areas where improvements could lead to increased efficiency or enhanced internal backend services. Identified areas for improvement will be prioritized and addressed as time and resources permit. Examples of solutions may include redesigned workflows, additional training, technical customizations, changes to configurations, etc. Please be sure to speak to the appropriate team member regarding any suggestions you have regarding pain points or potential improvements to Alma workflows. -
Ex Libris Implementation Team Update – October 2022
The Ex Libris Implementation Team continues to keep busy with a variety of initiatives, projects, and issues. Here are some highlights:
Library Mobile
Over 1,000 patrons have downloaded and registered their Library Mobile app as of mid-October. Weekly drawings are occurring to award swag and gift cards to students who register and respond to Quick Polls. Feedback has been overwhelmingly positive, and we are excited to grow our user base even more. Representatives from the Rutgers Library Mobile implementation team presented on the app and our implementation process at the Ex Libris Northeast User Group (ENUG) conference on October 21.
Post Implementation Review
Over the course of FY23, representatives from the Implementation Team will lead a post-implementation review of each of their functional areas. During this process, we will review current backend Alma workflows in an effort to identify areas where improvement is necessary or desired. Once identified, we will prioritize issues for deeper analysis and potential solution implementation. We encourage everyone working with Alma to participate in this process and to reach out to your Implementation Team Representative with any ideas for areas that could use improvement.
Chosen Name
Starting October 17, a chosen/preferred name provided by students, faculty, and staff began appearing in Alma patron records in place of the patron’s legal first name. The chosen name is being used in QuickSearch once a patron has signed in and in any email communication from the Ex Libris platform. ReShare Update
The version updates performed by Index Data on October 2 resulted in many issues that continue to disrupt processes at all PALCI member institutions. While some bugs have been resolved, Index Data continues to address the outstanding issues. Most of the interruptions are specific to the staff interface, but we have been able to continue receiving items with manual intervention. However, patron notifications are currently suspended. As a result, patrons are not receiving emails confirming their request or notifying them of a failed request. We have requested that an alert be placed on the VuFind landing page so patrons are aware of this suspension. PALCI has done a good job of keeping all members informed with updates. We will continue to monitor progress and share updates as they are available.
Esploro
Q&A sessions were held for library faculty interested in learning more about Esploro’s researcher profiles. Researcher profiles gather and present information about faculty scholarship, activities, and achievements in order to showcase and promote faculty research, facilitate collaboration and identification of experts, attract external funders and industry partners, and enhance institutional reputation. As proof of concept, publication data was imported using Esploro’s smart harvesting technology, and profiles were created and temporarily activated for all library faculty. Q&A sessions were then held to show faculty how to edit and manage their profile and discuss potential benefits, use cases, and configuration options. Library faculty were also invited to take a brief survey to assess the completeness and accuracy of their profile, share feedback, and offer suggestions for improvement.

RUL Announces Launch of Library Mobile App

Rutgers University Libraries is pleased to announce the launch of Library Mobile, an innovative app designed to enhance the Rutgers community’s library experience. The new app delivers seamless integration with the Libraries’ vast resources and services, providing an intuitive interface with personalized content.
Library Mobile can be downloaded at libraries.rutgers.edu/app and is available for iOS and Android. After logging in with their Rutgers NetID, users can quickly access hours, study space reservations, course reading lists, and research assistance. The feature-rich app also allows users to conveniently search for content, manage their accounts, and stay up to date with library events.
Rutgers is proud to be the first North American institution to release the Library Mobile app, developed in partnership with Ex Libris, a leading global provider of cloud-based solutions for higher education and research. Feedback submitted through the app helps the Libraries to improve not only the app but also the resources and services it provides.

Ex Libris Implementation Team Update – September 2022
The Ex Libris Implementation Team provides regular updates to inform the Rutgers University Libraries (RUL) community of its activities and accomplishments, which benefit RUL and our user community.
Primo
Primo (aka “QuickSearch”) marked its 5th anniversary this year and continues to be one of the most heavily used library services, ending FY22 with over 2.2 million searches, 1.7 million record views, and 1 million full-text downloads. This year’s enhancements included the addition of ebook license information, search and indexing improvements, integration of the library link resolver with EndNote, improved error reporting, and various bug fixes. Enhancements for the coming year include persistent login, improved deduping, linked data enrichment, and improved collection discovery.
Notable statistics for FY22 include:
- 2 million searches
- 7 million record views
- 1 million downloads
- 450 support requests
Esploro
Last year, the Libraries launched a new and improved version of SOAR (Scholarly Open Access at Rutgers) that’s powered by Esploro. Esploro improves and extends the Libraries’ ability to capture and manage institutional research output using automated data harvesting and machine learning techniques. SOAR staff imported over 22,000 new research assets via smart harvesting and accepted over 500 faculty deposits. Planned enhancements for the coming year include a redesigned research portal, enhanced ORCID integration, and implementation of public researcher profiles.
Notable statistics for FY22:
- 22,000 assets ingested
- 56,000 record views
- 62,000 downloads
- 100 support requests
Alma
A pilot project to expedite the cataloging of donated books was conducted using two donations, the International Youth Literature Collection (IYLC) and the Tanner Collection. Two hundred ten IYLC donated titles were added to Alma, and 61 donated items were added for the Tanner gift. The pilot will be refined based on feedback from key stakeholders and is a work in progress. The goal is to expand the workflow to include other donations from across RUL.
The ArchivesSpace Users Working Group was reinstated in July. They are working to establish local practices and standards for finding aids across all RUL archives and are using the ArchivesSpace plug-in tools for subject and name authority access. This initiative is led by Melissa De Fino, and group members include representatives from IIS, SC/UA, IJS, Smith Library, Robeson Library, and SMLR.
A sustainable method to track withdrawn serial titles for the BTAA Shared Print Repository was developed by CTS, HMU, and IIS using Alma’s statistical notes feature. This information will be available in Alma Analytics in perpetuity.
CTS and IIS personnel are working with SC/UA to improve the configuration of SC/UA locations and related changes in support of the SC/UA Migration Project for resources located in remote storage due to damage from Hurricane Ida.
A new and innovative process is being developed for scores cataloging to meet a need in an area where expertise is currently lacking in CTS due to the departure of the music cataloger. The process is being developed in collaboration with Backstage Library Works.
A total of 474 support requests were handled in response to queries and requests sent to the Cataloging Queue.
Library Mobile
The Library Mobile team is excitedly preparing for the Fall 2022 launch of our new student app. We encourage everyone to check out the tour on RUL’s YouTube channel and to download instructions so that you can start using the app.
Rapido
We’ve been working with Ex Libris on the implementation of Rapido, a resource-sharing platform that’s integrated with Alma and QuickSearch. Rapido will provide our patrons with a streamlined requesting experience, allowing them to search for and request all materials from within QuickSearch. Patrons will no longer need to log into and search multiple platforms. If the material isn’t available from RUL, background configurations will allow Rapido to source the requested materials using our existing sources via OCLC and ReShare as well as our new Rapido partners.

Ex Libris Implementation Team Update – September 2021
On August 12 all PALCI institutions moved to ReShare as the new platform to process and manage EZBorrow requests. We are so pleased to report that this transition has been successful and I would like to personally thank everyone for their patience and assistance over the past couple of months. Along with our partner institutions, we continue to provide feedback to developers to help make this new platform even better. In the first week we have already made several improvements, including one, patron searches. Clicking on the EZBorrow button in QuickSearch will now automatically search the PALCI shared index and present related results. Patrons no longer have to manually repeat their search in the EZBorrow interface.
EZBorrow patrons have received their final reminder regarding requests placed prior to the ReShare implementation. Access to these requests will not be possible after August 31. All users were provided with instructions on how to download a report of their requests from the old system prior to its retirement.

E-ZBorrow Transitioning to ReShare
ReShare, the new platform for managing E-ZBorrow requests, is now in the final stage of implementation. ReShare will provide our patrons with consortial discovery, offering real-time availability. Additionally, ReShare supports batch processing which will allow staff to process multiple requests quickly.
In the coming weeks we will be adding configurations, creating staff user accounts, and training staff on processing requests in ReShare. Staff at all PALCI partner libraries will be spending the first two weeks of July working with test requests and fine-tuning the process. PALCI is anticipating this testing phase to be completed by mid-July, at which point all partner libraries would enable patron discovery and go live on the new platform on the same day.
Relais, the platform we currently use, will remain available for the completion of current requests until August 31. Requests will not be migrated to the new platform. Patrons who have used the E-ZBorrow service in the past two years will receive a notification with instructions on how to export a list of their requests. The first of these notifications will be sent on July 7 and two reminders will be sent before the August 31 deadline.

Ex Libris Implementation Team Update – May 2021
Ex Libris Datacenter Migration and Outage
During Memorial Day weekend Ex Libris will migrate our cloud platform which includes Alma, QuickSearch(Primo VE), Leganto, and Esploro to a new datacenter. From 9:00 PM on Saturday, May 29th until 09:00 PM Sunday, May 30th we expect the entire platform to be unavailable due to this migration activity. The Ex Libris Implementation Team will be updating the libraries as the date approaches with more details.
Rialto
The technical implementation of Rialto is progressing well. The firm order buying cycle configuration is complete and work on transitioning the DDA from Oasis to Rialto will finalize soon. We hope to train Selectors on the use of Rialto over this coming summer.
Transition to ReShare
User request history in EzBorrow will not be migrated to ReShare. Instructions are being developed for users who wish to export this data in advance of the transition and will be shared in the near future.

Ex Libris Implementation Team Update: March 2021
As we approach the anniversary of the COVID-19 pandemic and our move to online instruction, we are taking a moment to reflect on the past year in reserves. Throughout this year, we have made the leap from primarily physical reserves to a fully digital workflow that is solidly grounded in Alma processes and provided to users through Leganto. This effort included almost everyone in the libraries and was possible only through the hard work of our reserves units, public-facing staff and librarians, directors, and nearly every central unit.
Over the summer, Cabinet approved the Redesigning Reserves proposal to begin this transition. A few highlights from the completed work on this proposal include:
- Modifying reserves workflows to make use of new metadata fields in Alma to manage evolving reading list and citation statuses added through Leganto
- Moving and suppressing physical reserves items and the implementation of a chapter scanning workflow in QuickSearch to provide access to portions of these materials to users
- Adding the Reading Lists tool to the default course shell in Canvas and integrating a Canvas course load into Alma to facilitate the connection between these two systems
- Developing a focus group centered on improving fulfillment workflow processes, which reviewed the course reserves workflows and suggested modifications to improve efficiency and user experience
- Forming a copyright queue to address internal course reserves copyright approvals
- Changing the reserve workflow to center user communications in the local units and include liaisons and selectors at the correct points in the process
- Sunsetting the course reserves scope, which was centered around print reserves discovery, in favor of the reading lists tool and the Leganto Search, which includes reserves materials in all formats
While we are now successfully providing fully digital reserves for instructors and students, there are still ongoing changes. Some projects in process include:
- The Fulfillment Working Group and volunteer reserves units from Camden, Newark, and New Brunswick Douglass are testing a new reports strategy in Alma to help reserves units manage reading list and citation statuses.
- The Instructional Support Group is working on developing new documentation to help instructors create and populate their own reading lists and roll over their existing reading lists each semester to new courses.
- The Alma Digital Steering Group is creating an outline for how we might implement Alma Digital. This tool would change the reserves process in several important ways including integrated digitization processes, a move away from local server storage for reserves materials, the opportunity to review our reserves content for accessibility, and the potential to provide controlled digital lending.
- Cabinet will be reviewing a proposal focusing on student usage data collection in Leganto.
Thanks to all the work across the organization on reserves this year, we have not only successfully transitioned the course reserves process to digital instruction, but have improved on it in many significant ways. Though this was a year full of uncertainty and change, we have been able to build new connections across Rutgers and continue our mission to support teaching and learning through course reserves.

Ex Libris Implementation Team Update – January 2021

The new SOAR platform improves the capture and discovery of Rutgers research outputs. The new SOAR research portal, powered by Esploro, is now live and can be accessed at soar.libraries.rutgers.edu. Esploro helps advance SOAR’s mission to promote Rutgers scholarship by improving and extending our ability to collect and manage institutional research outputs.
Benefits of the new platform include:
- Simple, streamlined deposit of research outputs
- Integrated workflows for reviewing, approving, and managing deposits
- Support for over 50 resource types including articles, book chapters, conference proceedings, presentations, datasets, and creative works
- Automated capture of metadata from major scholarly publishers and indexes
- Automatic DOI registration for persistent identification and access
- Powerful analytics for tracking and measuring research impact
- A robust global infrastructure to ensure reliable and continuous availability
Additional enhancements are planned over the course of the next year that will further augment SOAR’s ability to capture publication data and provide a richer, more comprehensive picture of research activity at the university.

Please note that all previously deposited assets have been migrated to the new platform and remain accessible via their assigned DOI. The following services previously offered through SOAR have been discontinued:
- “My Bibliography Link” – a shareable link to your personal collection of deposited works in SOAR
- “Faculty Survey Portal” – a custom portal allowing researchers to search your collection of works in SOAR
